Here you can find the answers to some of the most frequently asked questions about the new MyBSAC platform, powered by Sport:80.
Issue: Every time you open a page and make a selection (e.g. in members) it opens a new tab in your browser. If you are flicking between pages for info, you end up with hundreds of tabs open that aren’t needed.
This is the way the system works, but on a positive note you can click on the previous tab to go back when needed.
Will there be a texting facility? For example, the ability to text (SMS) members to give them the latest updates such as a pool closure due to leaks, etc.
SMS is not available in the new system due to costs. You could explore WhatsApp as an alternative.
Does the system include Email Delivery reports? (For example, to be able to see who has received, and read the emails sent out, especially when payments are concerned.)
This functionality is not available.
Is all of the data from the old system going to be migrated to the new system?
We will migrate over 18 months’ worth of expired members data.
Do we have a data protection form to sign off on?
You will see this when you first sign in.
Are there reminder or action notifications?
Yes. When something is expiring such as a medical or membership, an email is sent to the member only. You can monitor anything awaiting action or expiring via smart lists.
Is the platform mobile compatible?
Yes, it is fully responsive.
Is the backbone of the system moving to a different server provider, especially due to the new ability to save files online to allow faster loading times and more important less downtime?
Yes, it is software as a service (SaaS) based and the live environment will perform a lot better. You will have more consistent access to MyBSAC which you don’t at the moment when the website is down.
Do we create our own views/filters or will there be standard ones to choose from?
Yes, we can create standard sets of smart lists which you can copy and play with.
Will there be a user guide available for the different parts of the system?
Yes, there is a knowledge base, a guide and videos available along with a 24-hour support desk.
Does this mean we will stop receiving some of these regular updates from the BSAC membership team and will be expected to self-manage all of this?
We will still send out notifications and if you need assistance, we are here to help and support. support@bsac.com 0151 350 6210.
Can we create template emails that we can reuse?
You can offline but they are not stored in the system.
Do we always have to manually add new members or will they still be auto added if they choose our club when joining?
It would work as it currently does when a member joins online but the new feature of this system is the club will be able to add them and they will be live in real time.
Will this system prevent people affiliating to clubs without necessarily joining them?
Yes but the club get notified and can remove if required.
Can we order the smart list i.e., by date or name order?
Not the list but you can output to excel and sort.
Can we add addresses without a UK postcode?
Yes, we can add an overseas address. The form can be manually filled in.
Three-year approval for medical certs - does that go from date its approved by the Club Officer so if the member doesn’t upload promptly, its valid date will be different?
The valid from date will be the date it was uploaded if it is a self-cert; you will be able to correct expiry date based on the validity of the medical certificate itself.
Will Regional Coaches be able to see members, clubs or instructors in their region?
We are currently going through this for coaches, it may be introduced after the launch date.
Will BSAC centres be able to use the new system with their trainees in the same way clubs can use it for members?
This is something we are working on but may not be ready for launch. Please email support@bsac.com regarding the latest information on centre access.
Is anything on the app changing?
The app is being retired, and all of the functionality will be in one place in MyBSAC. The new system can be used on multiple platforms and will now include SDC training as well as Diver/Snorkel training.
Will there be an area online where we can practice using the new system without risking making errors?
Unfortunately not, the system will be live when you get access to it, anything can be fixed, just call or email us for support.
How much of the new system will be populated from the existing system and how is it being verified and by whom?
All current information on the system will be transferred over to the new system. BSAC have been testing the data for months now and we are confident it will be mapped to the new system correctly. Each club can check if anything needs updating when they get access.
Would it be appropriate to add try divers on to the new system?
A club can add them as a non-member on the system and will then be able to convert them to members if they join.
Can ‘custom views’ be shared between branch members?
The smart lists will appear for you only unless you opt to share them. The share option will let other Club Officers view the smart list you have created.
